Privacy Policy.

How CommExcellence handles personal information across the Commercial Scorecard, research, Commercial Signal, CXC, advertising and website services.

Who is responsible for personal information.

The responsible party and website operator is CommExcellence (Pty) Ltd, trading as CommExcellence, registration number 2026/086704/07.

SCOPE

One privacy framework across the platform.

This policy describes the current CommExcellence website and the processing expected for announced platform features. If a feature materially changes how personal information is used, this policy and any required consent will be updated before or when that feature is enabled.

This policy applies to the CommExcellence website, Commercial Scorecard, research programme, Commercial Signal, subscriber and publication access features, comments, contact and partnership forms, AI assisted features where enabled, and the planned CXC participation system.

CommExcellence is designed around a simple principle: personal information should be used only for a clear purpose, kept proportionate to that purpose and not quietly repurposed for unrelated marketing or advertising.

INFORMATION WE COLLECT

What you provide and what the service creates.

  • Identity and work context such as name, business email, company, role, country or region and company size where requested.
  • Commercial Scorecard answers, dimension scores, overall score, report content, completion date and related diagnostic data.
  • Research participation context used to analyse patterns across roles, company sizes, regions or other disclosed segments.
  • Commercial Signal subscription status, confirmation status, delivery records and preference information.
  • Contact messages, advertising or partnership enquiries, comments, replies and publication access information.
  • Technical, security and service information such as IP address, browser or device information, timestamps, referral information, storage identifiers and logs needed to operate and protect the site.
  • If AI assisted features are enabled, the prompt or question you submit and enough surrounding context to generate the requested response.
  • If CXC is enabled, account identifiers, balance and ledger entries, eligible actions, rewards, redemptions or spending activity, fraud controls and security events.

CommExcellence does not intentionally request special personal information, financial account credentials, private keys or confidential company information through ordinary website forms. Please do not submit information that is unnecessary for the feature you are using.

SCORECARD & RESEARCH

Your result is personal. The research looks for combined patterns.

The Commercial Scorecard uses the answers you provide to calculate an immediate diagnostic result. The scoring process is automated, but it is designed as decision support and does not make a legal, employment, credit, insurance or similarly significant decision about you.

Scorecard responses may also contribute to CommExcellence research. Public research is intended to use aggregated, de identified or anonymised patterns rather than identifiable individual responses. Published findings may include sample size, segmentation, methodology and limitations so readers can judge the evidence responsibly.

Participation in the Scorecard or research does not automatically subscribe you to Commercial Signal. Marketing consent is requested separately.

ASTROBOT

Conversations can contribute to commercial research.

Astrobot is currently a rules based CommExcellence assistant and does not send ordinary conversation content to an external generative AI provider. Questions submitted to Astrobot, Astrobot responses, the page being viewed, timestamps, interaction events and research classifications may be stored securely so CommExcellence can understand recurring commercial questions, improve the assistant and identify research themes.

Visitors are asked not to submit confidential, personal or commercially sensitive information. Raw conversations may be retained for controlled internal review and may be emailed to the CommExcellence research inbox for filing. Public research should use anonymised, aggregated or de identified patterns rather than publishing identifiable conversation transcripts.

At the end of a conversation, a visitor may separately request a copy of the transcript by providing an email address. That email address is used to deliver the requested transcript and does not by itself subscribe the visitor to Commercial Signal. Marketing consent, where offered, is a separate optional choice.

COMMERCIAL SIGNAL

Subscription and direct marketing remain separate choices.

If you ask to receive Commercial Signal or other marketing communications, CommExcellence may use your email address, name and subscription status to deliver and administer those communications. Confirmation records may be retained to demonstrate the choice you made.

Electronic direct marketing will be sent only where consent or another basis permitted by POPIA applies. Every marketing message should identify the sender and provide a practical way to unsubscribe or object.

Contact forms, Scorecard delivery and transactional acknowledgements are not treated as permission to add you to a marketing list.

ADVERTISING & PARTNERS

Advertisers do not receive participant level research data.

Advertising and partnership enquiries may collect the contact and organisation details needed to assess and respond to a potential commercial relationship. Those records may be retained for follow up, contracting, compliance and relationship management where appropriate.

CommExcellence does not sell personal information to advertisers. Advertisers and sponsors are not given private Scorecard answers, individual research responses, subscriber lists, private conversations or personally identifiable research records.

CommExcellence may share non identifiable audience, publication or research metrics where lawful and appropriate. Paid placements should be clearly labelled and kept separate from independent research and editorial conclusions.

CXC

CXC records include earned activity, purchases and crypto payment evidence.

Operating CXC may require processing account identifiers, whether CXC was earned or purchased, balances, qualifying activity, purchase and refund records, crypto asset type, payment-provider identifiers, wallet or destination information where needed, transaction hashes, exchange-rate information, redemptions, fraud signals and support history.

CommExcellence does not need or want a user's private wallet key, seed phrase or exchange password and will never request those credentials.

Advertisers do not receive identifiable Scorecard responses, participant identities or private research submissions merely because they purchase CXC or advertising.

Crypto payment providers may process transaction and compliance information under their own privacy terms where they provide the payment service.

PURPOSE & LAWFUL PROCESSING

Why personal information is used.

Personal information may be processed to provide a service you requested, calculate and deliver Scorecard results, administer research participation, respond to enquiries, manage subscriptions, provide publication access, moderate comments, operate CXC if enabled, prevent misuse, secure the service, maintain records, comply with law and improve the platform.

Depending on the activity, processing may rely on consent, a request or agreement with you, a legal obligation, protection of a legitimate interest, the legitimate interests of CommExcellence or another basis permitted by POPIA. Consent can be withdrawn where processing depends on consent, without affecting processing that was lawful before withdrawal.

PROVIDERS & TRANSFERS

Trusted operators support the service.

CommExcellence uses service providers for hosting, databases, server functions, email delivery, security and related operations. Current website infrastructure includes hosting services, Supabase based data and server functions, and Brevo based email delivery. Additional providers may be introduced as features evolve.

Providers should receive only the information needed for their function and should be subject to appropriate confidentiality, security and processing controls. Some processing may take place outside South Africa. Where POPIA section 72 applies, CommExcellence will use an appropriate basis or safeguard for the transfer.

RETENTION & SECURITY

Keep what is needed. Protect what is kept.

Personal information is retained only for as long as reasonably necessary for the purpose collected, legitimate research integrity, legal or accounting obligations, security, dispute handling or the establishment and defence of rights. Retention periods can differ by record type.

Research datasets that have been genuinely anonymised so that they are no longer personal information may be retained for longer to support longitudinal analysis and reproducibility.

Reasonable technical and organisational safeguards are used to protect information against loss, unauthorised access, alteration or disclosure. No online system can guarantee absolute security. Suspected security compromises will be assessed and handled in line with applicable notification duties.

YOUR RIGHTS

Access, correction, objection and deletion.

Subject to POPIA and other applicable law, you may request access to personal information, ask for correction or deletion, object to certain processing, withdraw consent, object to direct marketing, ask about automated Scorecard processing and request information about relevant recipients or transfers.

Privacy requests can be sent to gideon@commexcellence.com. Identity may need to be verified before a request is completed. You may also complain to the Information Regulator of South Africa.

CHILDREN & CHANGES

A business platform for adult professionals.

CommExcellence is intended for adults and commercial professionals and is not designed to knowingly collect personal information from children. If information about a child is submitted inadvertently, contact CommExcellence so that it can be assessed and removed where appropriate.

This policy may be updated when the platform, providers, research methods, advertising model, CXC functionality or applicable law changes. Material changes will be reflected by a new updated date and, where required, an additional notice or renewed consent.
